Terms of Service
These terms govern access to and use of HIPAA Security Suite® by Acentec, Inc. by companies, administrators, workforce members, and other authorized users.
1. Scope of Service
HIPAA Security Suite® is a compliance management platform that helps organizations manage training, assessments, remediation, documents, incident intake, and related administrative workflows. The service is provided for business, compliance, and operational purposes. It is not medical care, legal advice, or emergency response.
2. Authorized Use
Access is limited to users authorized by the subscribing company. Users must protect their credentials, use the system only for legitimate business purposes, and comply with applicable privacy, security, and employment obligations. Shared credentials, unauthorized exports, and misuse of another user’s access are prohibited.
3. Customer Responsibilities
Each subscribing company remains responsible for its own HIPAA compliance program, internal policies, workforce management, and decisions about protected health information. The company is also responsible for maintaining accurate records, limiting access appropriately, and reviewing the platform’s outputs before relying on them.
Covered entities and business associates remain responsible for their own required HIPAA notices, authorizations, breach decisions, and regulatory filings. These terms and this site are not a substitute for a covered entity’s Notice of Privacy Practices.
4. Privacy and Security
Acentec, Inc. applies administrative, technical, and physical safeguards designed to protect customer information. No internet-based service can guarantee absolute security. Customers are responsible for their own endpoint security, user provisioning, password hygiene, and review of company-specific configuration.
5. Acceptable Content and Conduct
Users may not upload unlawful, malicious, infringing, or intentionally deceptive content, attempt to disrupt the platform, reverse engineer protected components beyond rights allowed by law, or use the service to transmit malware, spam, or unauthorized communications.
6. Reports, Scores, and Recommendations
Dashboards, scores, remediation suggestions, risk summaries, training reminders, and similar outputs are informational tools. They support compliance operations but do not guarantee regulatory compliance, legal sufficiency, or the absence of security incidents.
7. Availability and Changes
We may update, enhance, or retire features from time to time. Scheduled or unscheduled downtime may occur for maintenance, security, provider outages, or infrastructure changes. We may also update these terms as the product, law, or service model evolves.
8. Termination
Access may be suspended or terminated for nonpayment, abuse, security concerns, or material violations of these terms. Upon termination, continued retention, export, deletion, or transition of company data will be handled according to the applicable service arrangement and legal obligations.
